Troubleshooting: VIC: NAT00080 – Client - Validation Errors

The NAT00080 file contains your students’ details. Almost all of these errors can be fixed by confirming the student’s demographic and address details in the Client Manager.

There are additional errors possible, however they should not be encountered, as VETtrak performs it's own validation to ensure files are in the correct format.

Error Code and Description

Suggested Resolution

80003: The Client Identifier on the Client (NAT00080) file must also exist on the Enrolment (NAT00120) and/or the Qualification Completed (NAT00130) file. VETtrak should not allow mismatched records between the NAT80, NAT120 and NAT130 files - you may require to do a fresh export of your NAT files (to a new folder to avoid any issues with the TXT files not updating) and resubmit for validation.
80008: For postcodes other than 0000, @@@@ or OSPC, the Postcode must be consistent with the Address Location - Suburb, Locality or Town (ie; match a postcode/description in the master list). Edit the Client Personal Information. Address postcodes and suburbs must match a combination on http://auspost.com.au/postcode.
80010: The Main Language Other Than English Spoken at Home Identifier on the Client (NAT00080) file must be valid (ie; match a Main Language Other Than English Spoken at Home Identifier from the master file). Run the Update AVETMISS fields tool (from the Utility menu), and then edit the Client Details and confirm the correct language spoken at home has been selected.
80014: If the Disability Flag on the Client (NAT00080) file is 'Y',  disability records must exist for this client on the Client Disability (NAT00090) file. Edit the Client Personal Information. If you have indicated the student has a disability, you must select at least one type in the box below. If unknown, select 'unspecified'.
80039: VSN must be valid (9 digits or null). Confirm the student's VSN. VETtrak will check to ensure the number is in the correct format, so this error should not occur.
80046: The Year Highest School Level Completed must not be blank. Edit the Client Personal Information. Victoria require you to enter a 'Year completed' indicating the year the highest school level was completed.
80049: For every Student (ClientID) on the NAT80 file where the Indigenous Status Identifier is 1, 2 or 3, the Country Identifer must be 1100, 1101, 1102 or 1199. Confirm the Client Personal Information. You have indicated that this person identifies as an indigenous person, but that they were born outside of Australia. Skills Victoria consider this an unlikely combination.
80050: Students with a degree or diploma should not still be at school.  If the Prior Educational Achievement Identifier in the NAT00100 is coded 008, 410 or 420, then the AtSchoolFlag in the NAT00080 should be "N". Confirm the Client Personal Information. You have indicated that the student has completed some tertiary study, but also that they are still attending secondary school.
80051: A valid Victorian Student Number (VSN) must be entered for all Victorian students enrolled in any accredited or government funded training where the student is aged under 25. As indicated, you are expected to collect student VSNs for any student under the age of 25. Ensure that you are completing your VSN upload and downloads each month to ensure that these values are being populated.
80053: The state identifier must be 99 when the postcode is OSPC. Edit the Client Personal Information and confirm what suburb you have selected for their residential address. Next, go to Manage, Configuration and expand the Suburbs group. Ensure that the suburb you have selected appears under the 'Other (Overseas)' group, and has a postcode of OSPC.
80054: The Postcode must be "OSPC" when State Identifier is "99". Edit the Client Personal Information and confirm what suburb you have selected for their residential address. Next, go to Manage, Configuration and expand the Suburbs group. Ensure that the suburb you have selected appears under the 'Other (Overseas)' group, and has a postcode of OSPC.
80057: The Address Street Number must not be blank when postcode is not "OSPC", "0000" or "@@@@". A street number is expected when the student has an Australian residential address. The Victorian statistical guidelines indicate you should type 'not specified' in the street number field if you cannot collect this information.
80058: The Address Street Name must not be blank when postcode is not "OSPC", "0000" or "@@@@". A street name is expected when the student has an Australian residential address. The Victorian statistical guidelines indicate you should type 'not specified' in the street name field if you cannot collect this information.
80059:  It is expected that a student be over 14 years of age to be enrolled in VET training activity. Check the student's date of birth has been entered correctly.
80060: The State Identifier must not be blank. A suburb/city must be selected (VETtrak will then populate the State field)
803236: If Highest School Level Completed in the Client (NAT00080) file is 02 the Year Highest School Level Completed must be @@@@. Edit the Client Personal Information, you have indicated the student did not go to school, but have also entered a 'year completed'.
803705: Postcode must match Australia Post postcode Edit the Client Personal Information. Address postcodes and suburbs must match a combination on http://auspost.com.au/postcode.
803715: The Country Id provided must match a value on the ABS Standard Australian Classification of Countries. Run the Update AVETMISS fields tool (from the Utility menu), and then edit the Client Personal Information and confirm the correct country of birth has been selected. The country code selected should not end with a '0' as these indicate broad regions, and more specific options should be available to select from.
803745: If on the Client (NAT00080) file the Highest School Level Completed = 02 (Did not go to School), the At School Flag must be N Edit the Client Personal Information, you have indicated the student did not go to school, but have also indicated they are still at school.
803752: Year Highest School Level Completed is within 5 years of the date of birth or more than 100 years prior to the Collection Year Edit the Client Personal Information, and confirm the 'Year comp'. The value you have entered appears to be incorrect.
803830: The Address Suburb Locality can only be blank when the postcode is 0000, @@@@ or OSPC. A suburb is expected when the student has an Australian residential address. The list of suburbs are controlled through the Manage, Configuration area.
803832: Client is <= 10 years of age but has been reported as having Prior Educational Achievement at Certificate 1 or higher. Edit the Client Details and confirm the date of birth. 
803839: It is expected that students flagged as being at school cannot have a Labour Force Status of Full Time Employee. Edit the Client Personal Information and confirm the 'at school' and 'labour force status'. Skills Victoria consider it unlikely that a student would be still at secondary school, and be a full time employee.
804001: The Prior Educational Achievement flag must be provided (cannot be “@”) for any client who commences a government funded or domestic fee for service enrolment after 1/1/2010. Edit the Client Personal Information and confirm that you have answered the 'Have Prior education' question. Skills Victoria flag this field as mandatory for all enrolments after 2010.
