VSL Exporter – Recommended Export Methods

There are a number of different options on the first page of the VET Student Loans Exporter wizard and it can be difficult to understand which options should be used to extract the data you are looking for.  This article is designed to provide a recommended method of exporting the most common type of VSL exports from VETtrak.

The below options will always bet set the same on the first page of the exporter.

Date Range: Set to first and last day of the previous month
Include records from previous periods: un-checked
Include records already flagged as exported: checked
When exporting, flag records as exported: checked
Include units of study withdrawn before census date: un-checked
Validate dates within the same half year: un-checked
Opt-in to old VET FEE-HELP loan: include all

VET Student Submission

A VET Student Submission includes the VDUVEN and VLL files.  Units of study with a census date in each month must be reported by the 7th of the following month

The method below assumes that you want to extract data for the previous month on a date between the 1st and 7th of the month.

Set the details of the first page of the exporter to the following:

Always include VLL records for: both un-checked
Single export type: un-checked
Filter by completion date: un-checked
Include VCC records for 446: NA - won’t affect this type of submission

Below is an example of how the VSL Exporter should look:

VET Course Completions Submission

A VET Course Completions Submission includes the VCC file.  Courses of study completed in each month must be reported by the 7th of the following month. 

The method below assumes that you want to extract data for the previous month on a date between the 1st and 7th of the month.

Set the details of the first page of the exporter to the following:

Always include VLL records for: VCC checked - VCU un-checked
Single export type: checked - VCC
Filter by completion date: checked - VCC
Include VCC records for 446: 4 un-checked – 5 checked

Below is an example of how the VSL Exporter should look:


VET Unit of Study Completions Submission

A VET Unit of Study Completions Submission includes the VCU file. Units of study with a census date or a completed date in each month must be reported by the 7th of the following month.

The method below assumes that you want to extract data for the previous month on a date between the 1st and 7th of the month.

To ensure both Units of Study with a census date and Units of Study with a completion date in the month are captured it is recommended that 2 separate exports are performed. First set the details of the first page of the exporter to the following to capture Units of Study with a census date in the month:

Always include VLL records for: VCC un-checked - VCU un-checked
Single export type: checked - VCU
Filter by completion date: un-checked
Include VCC records for 446: NA - won’t affect this type of submission

Below is an example of how the VSL Exporter should look:

Next set the details of the first page of the exporter to the following to capture Units of Study with a completed date in the month:

Always include VLL records for: VCC un-checked - VCU checked
Single export type: checked - VCU
Filter by completion date: checked - VCU
Include VCC records for 446: NA - won’t affect this type of submission
