VSL Exporter – Revision Files

VETtrak does not directly produce VET Revision Files however it is possible to create most revision files using files extracted from VETtrak.

The VET Data Collections: File Naming Convention 2018 document details the format the revision files need to match in order for HEPCAT to recognise the files to import.

The examples in this article match the colour codes used in the VET Data Collections: File Naming Convention 2018 document:

9998xxxyyyy.pnnnnn where:
9998 = provider code
xxx = file type code
yyyy = reporting year
p = reporting period
nnnnn = submission number

For revisions files, the reporting year (yyyy) is always coded as ‘0000’ and the reporting period (p) is always coded as ‘0’


VET Student Revision Submission

File code and name: VRL – VET Revised Load Liability
About: Enables providers to revise previously reported student load liability data.
Timing: Any time.
VETtrak: Using the VSL Exporter export a VLL file including only the records you want included in the VRL file. Rename the file by replacing the file type code with VRL, and replace the reporting year and reporting period with zeros. The name of the file should look like the below example.

9998VRL0000.000001

 

File code and name: VSR – VET Student Revision
About: Enables providers to revise data that has been previously reported to the department on the VLL file.
Timing: Any time.
VETtrak: The VSL Exporter does not include a VSR export file option but a standard report contains the necessary information. Go to Report – Standard Reports – VET Student Loans/VET FEE-HELP Reports and run the VSR Report.

Follow the instructions under How to use this report in the description of the report to create a VSR file. The name of the file should look like the below example.

9998VSR0000.000001

 

File code and name: VDU – VET Commonwealth Assisted Students file – HELP Due
About: Included as a snapshot of information in the VET Student Revision Submission.
Timing: Included along with the VRL and VSR files.
VETtrak: Using the VSL Exporter export a VDU file including only the records you want included in the file. Rename the file by replacing the reporting year and reporting period with zeros. The name of the file should look like the below example.

9998VDU0000.000001

 

VET Enrolment Revision Submission

File code and name: VER – VET Enrolment Revisions
About: Enables providers to revise data that has been previously reported to the department on the VEN file.
Timing: Any time.
VETtrak: Using the VSL Exporter export a VEN file including only the records you want included in the VRL file. Rename the file by replacing the file type code with VER, and replace the reporting year and reporting period with zeros. The name of the file should look like the below example.

9998VER0000.000001

 

Tax File Number Revision Submission

File code and name: TR – FRN Revision
About: Updates a student’s TFN and personal information on the VDU submission when a student’s TFN cannot be matched with the details held by the ATO.
Timing: Whenever a provider has been notified that a student’s TFN was not verified by the ATO.
VETtrak: Using the VSL Exporter export a TL file rename the file by replacing the file type code with TR. The name of the file should look like the below example.
